General Information

 

The School District of Philadelphia Office of Student Records is responsible for the permanent archiving of student cumulative records of former Philadelphia School District students. We also archive records of most Charter Schools that are permanently closed.

Older Files

In conformity with our records retention schedule, all pupil pockets and transcripts  for individuals graduating prior to 1973 have been reviewed and subsequently destroyed. This action is part of our ongoing effort to manage and maintain our records in compliance with law, while also minimizing security risks and resources spent on ongoing storage of paper records.

Files within Retention (50 year transcript)

In conformity with our records retention schedule, all pupil pockets dated between 1973 and the present have been reviewed and destroyed. Transcripts of students graduating less than fifty (50) years ago are retained until reaching that milestone, in compliance with legal requirements and our commitment to efficient records management.

PLEASE NOTE: If you graduated prior to 1990, your records are housed at an offsite storage facility. Please allow additional time for processing and delivery.

All requests for student records / information will be submitted and paid for online. We do not accept Cash, Checks or Money Orders.

 

IMPORTANT:

  • All records are fulfilled electronically whenever possible.
  • If use the 'Current Student' link and are not a minor age student or if you are not a student that graduated within the past 12 months, your order will be cancelled . Please use the link for Adult Former Students.
  • Please allow up to 10 weeks to receive replacement diploma requests. 
  • If you graduated prior to 1990, your records are housed at an offsite storage facility. Please allow additional time for processing and delivery.
  • Requests for records and/or verification of graduation must be completed online and will be processed on normal business days during normal business hours (Monday-Friday 8:00 AM-4:00). We do not accept requests via email, fax, phone, US Mail or walk-in. 
  • Please also note that this website is optimized for IE 9.0 and higher, Safari, Chrome and Firefox.
  • All requests will be checked for accuracy. Any inaccurate information may result in your record not being processed. All communication with regard to your order, payment, our progress, and the records delivery will be sent via email

 

  • We do NOT hold any records for Catholic Schools, Charter Schools that are still in operation, private schools, schools that are outside of the Philadelphia School District area or GED. Please contact those entities directly for information.

Transcript (requires signed release) $11.85 ea
Full Pocket Copy / Subpoena Request for graduates or attendance within last 5 years, (requires signed release) $30.85 ea
Special Education Folder (e.g. IEP) (requires signed release) $30.85 ea
Verification of Graduation (requires signed release) $11.85 ea

A FERPA signed release is a document that grants permission for a student's educational records to be shared with third parties. FERPA stands for Family Educational Rights and Privacy Act, a federal law that protects the privacy of student education records. 

**Please note there is a $5.15 processing fee for each mailing address and a signed release is required to be uploaded with each request.
